Configure registration notifications

Available notifications

In general, you can configure notifications that are sent to the following subjects:

  • users (actors in the application)

  • group managers

Notifications can be configured separately for both types of the application form (initial registration and membership extension)

The types of notifications with a short description of what action they are sent is displayed in the following table:

Managing notifications

Sign in into the Perun User Interface (GUI). Navigate to the detail page of the group or virtual organization (VO) for which you want to configure the notifications. In the detail page, open the Advanced settings section of the group. A screen similar to the pictured one should appear. From there, click the Notifications tile. This will take you into the section, where you can configure the notifications themselves.
A prerequisite to be able to perform this action is the creation of the registration form for the group/VO. If you have not done it previously, the user interface will navigate you into correct section to create it.

 

Creating new notification

Navigate to the notification management section. Picture in the right column depicts the section for configuration of the registration form email notifications.

 

To create the notification, click the add button from the notification management section. A dialog with the configuration of the notification will appear.

 

In the first tab, you will configure basic settings of the notification. Particularly, this includes the type of the notification, for which type of application should be sent, and if you want to enable it immediately.

 

Other tabs of the dialog window are used to configure the content of the notification. You have to specify the Subject of the email and the text. To provide dynamic content (i.e. name of the applicant) in the notification, you can use predefined tags. List of the available dynamic content can by displayed by clicking on the add tags button in the right side of the dialog window. By clicking on the particular tag, you will add it into the content.

After specifying the subject and the content of the message, close the dialog by clicking the Create button. If you want to discard your changes, use the Cancel button.

 

Editing existing notification

Navigate to the notification management section. Picture in the right column depicts the section for configuration of the registration form email notifications.

 

Open the details of the notification by clicking on the corresponding row in the table displaying all configured notifications. A dialog window will open. This dialog will be used to edit the settings of the application.

 

In the Basic settings tab, you can disable the notification. Unchecking this option will leave the configuration available, but the notification will not be sent out to the recipient(s). Use this option if you want to temporarily disable sending out some messages.

 

To modify the contents of the notification, switch to the tab with particular language configuration. Update the content according to your needs. You can use the Add tags button to display and add the dynamic content into the notification content.

Submit your changes by clicking the Save button. If you want to discard your changes, use the Cancel button.

 

 

Disabling the notification

Navigate to the notification management section. Picture in the right column depicts the section for configuration of the registration form email notifications.

If you want to temporarily disable the notification, but leave the configuration available, uncheck the green checkbox in the table row corresponding to the particular notification you want to disable.

Alternatively, you can use the dialog window, which will open after clicking the row in the table for the particular notification. In the Basic settings tab, you can uncheck the checkbox with label Sending enabled. Submit your changes using the Save button. If you want to discard your changes, use the Cancel button.

Removing the notification

Navigate to the notification management section. Picture in the right column depicts the section for configuration of the registration form email notifications.

 

Select the notification(s) you want to remove by checking the box in the corresponding row in the table. After selecting at least one notification, Remove button above the table will become usable. Click the button to trigger the removal process.

 

A dialog window with the request to confirm the removal of the selected notifications will be displayed. If you really want to remove them, confirm the action by hitting the Delete button. In case you want to terminate the process, use the Cancel button.

 

Setting up common e-mail footer

As the notifications are sent to the recipient(s) as e-mail messages, you can configure a common e-mail footer, which can be then placed into the notification content using a specific tag, instead of specifying the footer for each notification separately. To configure it, navigate to the notification management section.

Above the table displaying configured notifications, click on the E-mail footer … button. A dialog window will appear. Specify the text you want to use as the footer.

Submit your changes by clicking the Save button. If you want to discard your changes, use the Cancel button.

You can now use the designated tag in the content of the notifications to dynamically insert the configured common footer.

 

Copying notifications from existing Group/VO

In some cases, you might already have notifications configured on some registration form for a group you are also managing. To make things easier for you, you can copy the notifications from such registration forms into others.
To copy them, navigate to the notification management section.

Above the table displaying configured notifications, click on the Copy from Organization/Group… button. A dialog window will appear. You will now be asked to select the source, from which you want to copy the notifications. Configure the group and organization.

Submit your changes by clicking the Save button. If you want to discard your changes, use the Cancel button.
